SAVMA Chapter Funding and Reimbursement Forms

Forms

UGA SCAVMA has funding available for the following areas. Please use the appropriate form from the list below to submit your request for funding or reimbursement.

SAVMA Chapter Wetlab Fund or Speaker Fund

Speaker vs. Wetlab: The Wetlab Fund should be used for experts who are exclusively teaching a wetlab and lecture to wetlab participants. If the expert has a presentation open to the whole school in addition to his or her contributions to the wetlab, the Speaker Fund should be utilized instead of the Wetlab Fund.

Wetlab:This fund may be used by clubs or SAVMA Chapter committees with insufficient funds to purchase supplies, speakers, and resources necessary to host a wetlab. The wetlab fund may be used to bring in experts who will greatly improve the quality of the wetlab; this fund may not be used to purchase food for students.

Speaker: This fund may be used by clubs or SAVMA Chapter committees who would otherwise be unable to afford expenses associated with bringing a speaker to UGA. Eligible expenses include travel, lodging, speaker fees, and per diem for the speaker; this fund may not be used to purchase food for students. Clubs and committees should make every effort to keep these expenses low, while providing adequate accommodations for the speaker.

When to submit? The SAVMA Chapter Executive Board highly recommends all wetlab or speaker fund requests be submitted at least two months prior to the projected event date to allow adequate time for the Board to consider the request, make additional inquiries to the requesting group, and reconvene for a final vote. Submitting requests well in advance will also provide the planning organization plenty of time to design the wetlab or schedule the speaker after ensuring funding is available.

What to submit? Email a completed “SAVMA Chapter Wetlab/Speaker Fund Request Form” to the SAVMA Chapter Treasurer, and copy the President (scavmat@uga.edu, Cc: scavmap@uga.edu).

What determines whether an event will be funded? The executive board will consider your organization's previous activities, planned activities, remaining budget, fundraising activities, the amount of student benefit from the event, and the reasonability of each item in your proposed budget. While either fund may be used to bring in experts who will greatly improve the quality of the event, if a suitable expert is available at UGA or in the Athens area, they should be utilized instead of bringing in an outside expert.

SAVMA Chapter Travel Fund

Purpose: This fund may be used by individual SAVMA Chapter members to alleviate expenses associated with travel to an externship at a distant location that aligns with their future career aspirations. This fund may NOT be used for an individual's travel to conferences. A student may apply for up to $300, and may only use this fund for one externship.

What does this fund cover? This fund may only be applied to travel and lodging costs. It may not be used for food or other expenses.

What/when do I submit? Members applying to this fund must submit the “SAVMA Chapter Travel Fund Request” form by the date listed on the form linked above. Applicants must also email their current CV/Resume to the Treasurer (scavmat@uga.edu). Award recipients will receive reimbursement after submitting their receipts and completing the “SAVMA Chapter Travel Fund Reimbursement” form.

What determines whether I will get funding? The executive board will consider students previous activity in SAVMA and SAVMA clubs, reasonability of travel expenditure, alignment of externship with the student’s demonstrated interests, and the educational benefit of the externship to the student.
